Apostille for a Ukrainian birth certificate

Apostille Centre helps prepare Ukrainian birth certificates for use abroad: reviewing the document, identifying the required authentication, arranging translation and agreeing how to transfer originals. We have provided legal services since 2008 and tailor the process to your circumstances.

When a birth certificate needs an apostille

A birth certificate may be requested for citizenship, residence, family matters, marriage or education. Whether an apostille is needed depends on the destination country, applicable international agreements and the receiving institution’s requirements. An apostille is not required in every case.

An apostille authenticates the origin of a public document: the signature, the capacity of the person signing it and, where applicable, its seal or stamp. It does not certify the contents of the certificate or replace a check of the conditions for its acceptance. See the HCCH Apostille Section for the general framework.

What to check before sending the original

  • The destination country and the name of the receiving institution.
  • Any written requirements for the document, translation and certification.
  • The date and place of issue, issuing authority, legibility of signatures and seals, and condition of the document.
  • The spelling of names and dates of birth and consistency with other documents.
  • Whether the institution needs the original, a replacement certificate or another birth registration document.

Older certificates, lost documents and inconsistent details

For older certificates, including Soviet-era documents, we first review the document itself and the receiving institution’s requirements. The year of issue alone does not determine the outcome: a replacement certificate or clarification of the registration record may be needed.

Tell us in advance if the certificate is lost or damaged, or if names or other details differ between documents. We can discuss the possibility of obtaining a replacement and documenting changes. See our replacement certificates and document retrieval service.

Translation and additional certification

Confirm the translation language, whether the apostille itself must be translated and the required form of certification with the receiving institution. It may require notarisation or a translation by a professional recognised in the destination country. A notarised translation and a second apostille are not a universal requirement for every country.

We agree the sequence before translation is ordered, helping avoid translating the same document twice or preparing an unsuitable set.

How preparation works when you are abroad

  1. Tell us the destination country, intended use and condition of the certificate through our online enquiry or contact us directly.
  2. We agree which information and document images are needed for an initial review.
  3. After review, we agree the scope, estimated timeframe, fees, translation, certification and transfer of originals.
  4. We arrange the agreed preparation and delivery of the completed documents.

The availability of remote preparation, the need for an original and any representation requirements are assessed individually. We confirm the cost and estimated timeframe after reviewing the document and requirements; any urgent option is discussed separately.

Verifying an issued apostille

To check an apostille issued by Ukraine’s Ministry of Justice, use the official electronic Apostille Register and its instructions. Verification of the apostille does not replace the receiving institution’s requirements for the translation and birth certificate.
