Ukrainian documents for Germany: preparation guide

Start with the requirements of the receiving institution in Germany. Ukrainian documents may need an apostille and a translation. The complete set depends on the purpose, such as marriage registration, education, confirmation of family circumstances or another procedure.

An individual plan for your situation

APOSTILLE Centre has provided legal services since 2008. We help clients work through difficult document tasks: lost records, old certificates, different spellings of a surname, a name change, discrepancies with a register or being unable to travel to Ukraine in person. We first review the available information and the recipient’s requirements, then agree on the possible steps and scope of work.

Apostille and translation: what to check

An apostille for a Ukrainian document is issued by the competent Ukrainian authority. The German Embassy does not issue Ukrainian apostilles. The authority depends on the type of document.

Ask whether the institution requires a translation by a sworn or authorised translator in Germany. A notarised translation prepared in Ukraine should not automatically be treated as a substitute. Request written confirmation of the requirements for translations, originals and copies.

A practical preparation checklist

  1. Identify the recipient. Record the institution, procedure and planned submission date.
  2. List the documents. Include the type, issue date and issuing authority for each one.
  3. Compare personal details. Check names, dates and spelling against the passport and other records.
  4. Check the originals. A lost or damaged document may require a replacement certificate or extract.
  5. Agree on preparation. Determine the apostille, translation, representation and document transfer needed.
  6. Plan delivery. Allow separately for shipping and check how the completed set must be submitted.

Contact us from Germany

Whether a representative can act for you and whether a power of attorney is needed depend on the specific procedure. Agree on the recipient, address and contents before sending originals.

Frequently asked questions

Does an apostille mean a diploma is recognised?

No. An apostille and recognition of qualifications are separate procedures. Check the requirements of the organisation assessing the diploma for work or study.

What if my surname is spelled differently?

Show us the documents containing the discrepancy and the recipient’s requirements. The reason for the difference and possible supporting records or corrections should be reviewed before ordering a translation.

Can acceptance of the documents be guaranteed?

The receiving institution makes the decision. We agree on preparation according to its requirements; this does not replace its assessment of your application.
