Apostille and translation: what is the difference?

Short answer: an apostille authenticates the origin of a public document: the signature, the capacity of the person signing and the seal or stamp. A translation conveys its content in another language. An apostille does not replace a translation, and a translation does not replace an apostille.

What an apostille confirms

Where the 1961 Hague Convention applies, an apostille replaces legalisation. It does not verify the truth of a document’s content or decide whether a qualification is recognised or residence rights are granted.

Check applicability for the issuing country, destination country and document type. Not every document needs an apostille: exemptions and special rules may apply.

Translation and notarial certification

A translation helps the recipient understand the document. Requirements for the translator and certification are separate. Ukrainian notarial certification should not automatically be assumed suitable for every foreign institution.

The German Embassy’s specific guidance distinguishes procedures: for applications at the Embassy, such as visa or passport applications, a translation by a Ukrainian translator with the translator’s signature notarised is sufficient. For a procedure within Germany, check in advance with the particular German institution whether it will accept the translation.

How to prepare your documents

  1. Identify the recipient: a public authority, educational institution, court or other organisation.
  2. Obtain written requirements covering the original or copy, apostille, language, translator and document issue date.
  3. Check your existing document. If it is lost, damaged or contains errors, clarify replacement or correction first.
  4. Agree the sequence of apostille and translation. Check whether the translation must cover the whole package, including certification wording.
  5. Check names, dates and completeness against the recipient’s requirements.

What to tell us when you first enquire

Tell us the document type, issuing country and authority, destination country and receiving institution. Share written requirements if you have them. Your intended submission date helps us assess the process but does not guarantee urgent preparation.

Do not post passport details or full copies of personal documents in public comments. Agree a suitable way to share any necessary materials separately.

Frequently asked questions

Can I apostille a translation instead of the original?

Do not assume they are interchangeable. Authentication of a notarial document and of the original public document concerns different documents. Check exactly what the recipient requires.

Does an apostille guarantee acceptance?

No. The recipient also assesses the content, form and suitability for its procedure.

Must I start again for a different country?

Compare the new recipient’s requirements first. A change of country alone is not a reason to order repeat preparation without checking.
